Merit is seeking an agile and highly-organized Project Coordinator to join our Client Experience and Operations team. Reporting to the Directory of Agency Operations, the Project Coordinator will help to optimize the workflow throughout the agency through different disciplines, departments and teams.

The ideal candidate is an instinctual problem solver, has experience working in an agency setting in traffic and/or project management and coordinating multi-channel creative campaigns.

Project Coordinators at Merit are involved in all types of agency accounts and projects therefore it is essential for candidates to be adaptable and thrive while working in fast-paced environments. Example projects include (but are not limited to): integrated brand and marketing, research and strategy, PR and communications, traditional and digital media, websites and other digital marketing and technology related projects.

This position’s responsibilities include:

  • Plan and prioritize all deliverables and agency resources across projects
  • Manage internal agency systems and tools to monitor, manage and report on critical project and/or account details (budgets, timeline, resourcing, etc.)
  • Establish effective communication with other departments to ensure that projects are completed in a timely and effective manner
  • Monitor day-to-day activities of internal teams and ensure work is progressing as planned
  • Troubleshoot problems to make sure a project or process remains on schedule
  • Keep track of changes, progress and issues in order to adjust timeline details, as necessary
  • Proof deliverables for spelling and ensure objectives are being met
  • Manage file versions and organizational structure of files
  • Organize and coordinate internal meetings
  • Anticipate next steps within a project in order to support all teams and departments
  • Manage and traffic all media ad specifications and submissions
  • Manage third-party freelancers and agency partners when involved in an account or project
  • Serve as the liaison between internal agency teams and the account directors/managers who handle day-to-day communications with clients
  • Document and communicate project status to account team members and agency leadership
  • Facilitate the receipt and communication process of client feedback and conduct thorough reviews of all deliverables to ensure the agency is maintaining the highest quality

Required Qualifications

  • 3+ years of professional experience in a related field, agency setting preferred
  • Proficiency in Microsoft Office and Google G-Suite
  • Proficiency with or similar project management platform
  • Bachelor’s degree in business, marketing, or communications preferred
  • Highly organized and detail-oriented with clear, effective communication skills
  • Ability to perform in a fast-paced environment with dynamic job responsibilities and priorities
  • Ability to work independently and in a team setting, in person and/or via Zoom
  • Calmness in the midst of storm
